Addison Group is partnering with a leading construction firm in the Mid-Atlantic region known for delivering complex commercial, institutional, and government projects. Their Preconstruction team plays a critical role in ensuring projects are fully scoped, accurately priced, and set up for successful execution before construction begins.
Job Description:
Our client is seeking a highly organized Administrative Assistant to support their Preconstruction (Estimating & Purchasing) team. This individual will play a key role in keeping bid processes moving efficiently by coordinating documentation, supporting subcontractor outreach, and assisting with the preparation of bid materials. The ideal candidate thrives in a fast-paced, detail-heavy environment and enjoys managing multiple priorities at once.
Key Responsibilities:
Coordinate incoming and outgoing bid documents, drawings, and proposal materials Assist in assembling bid packages including forms, submissions, and supporting documentation Distribute project opportunities and manage communication with subcontractors Track bidding activity and maintain outreach logs and internal databases Support bid-day preparation including scheduling, organization, and logistics Maintain organized filing systems and ensure project records are up to date Manage calendars, schedule meetings, and provide general administrative support to the estimating team
Qualifications:
3+ years of administrative experience, preferably within the construction industry Exposure to bidding, RFPs, or subcontractor coordination strongly preferred Proficiency in Microsoft Office (Excel and Word required) Experience with tools such as Procore, Bluebeam, or BuildingConnected is a plus Strong organizational skills with exceptional attention to detail Ability to manage multiple deadlines in a fast-paced environment Professional communication skills and strong office presence Construction industry experience must be clearly outlined on resume
Additional Details:
Must be able to commute onsite daily (role is fully in-office) Interview process includes one in-person meeting with hiring manager Start date expected approximately one week after offer acceptance (pending clearance) Role supports a team of ~19 within the Preconstruction department
