Job Description

Overview We are seeking a dynamic and highly organized Personal Assistant to support executive leadership with a wide range of administrative, operational, and project coordination tasks. This role offers an exciting opportunity to be the backbone of daily business activities, ensuring smooth operations and effective communication. Responsibilities Manage complex calendars and schedule appointments using tools like Microsoft Outlook Calendar and Google Workspace, ensuring optimal time management for executives. Coordinate and plan events, meetings, and travel arrangements with attention to detail and efficiency. Handle phone etiquette professionally across multi-line phone systems, screening calls and directing inquiries appropriately. Perform office management duties including filing, data entry, document proofreading, transcription, and maintaining organized records. Assist with bookkeeping tasks using QuickBooks and support basic bookkeeping activities such as invoicing and expense tracking. Provide executive administrative support by preparing reports, drafting correspondence, and managing confidential information discreetly. Support project coordination efforts by tracking deadlines, preparing materials, and liaising with internal teams or external vendors as needed. Skills Proven experience as a Personal Assistant or in an administrative support role with office management responsibilities. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Excellent communication skills with professional phone etiquette and customer service orientation. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar. Experience with QuickBooks for bookkeeping tasks and familiarity with DocuSign for electronic signatures. Skilled in event planning, data entry, filing systems, and front desk operations. Ability to type quickly and accurately while maintaining attention to detail; experience in proofreading and transcription is a plus. Knowledge of multi-line phone systems, office procedures, clerical practices, and office experience that supports seamless daily operations. $17.00 - $30.00 per hour
