Position Overview We are seeking a highly organized and detail-oriented Administrative Assistant to manage the administrative aspects of real estate transactions from contract to closing. This role is critical in ensuring deadlines are met, documents are complete, and all parties stay informed throughout the process. If you thrive in a fast-moving environment, love checklists, and enjoy keeping things on track, this could be a great fit. Key Responsibilities Ability to handle multiple projects at the same time as well as prioritize and manage time efficiently Manage all aspects of transactions from executed contract to closing Review contracts for completeness and compliance Coordinate timelines, deadlines, and contingencies Communicate with clients, agents, lenders, title companies, and vendors Schedule inspections, appraisals, and closings Maintain database management and follow up Ensure all documents are properly signed and submitted Provide regular updates to clients and team members Troubleshoot issues proactively to keep transactions on track Must be able to perform well under pressure and strict deadlines Monitor deadlines and provide notices to appropriate parties when necessary Maintain focus and a positive attitude in a fast-paced environment Attend daily team meetings Create personal to-do lists and goals daily Prepare real estate forms and documents Coordinate, oversee and inspect the completion of repairs on the property that is for sale Bring important matters to the attention of Team Leader or necessary team members
Qualifications:
Customer service skills in person and over the telephone Must have a driver's license and a vehicle Previous experience in a detail oriented position Exceptional organizational and time-management skills Excellent written and verbal communication Ability to manage multiple transactions at once Detail-oriented with a high level of accuracy Proficient in Microsoft Office, Outlook, and Google Drive Tech-savvy (experience with CRM systems, e-signature platforms, and transaction management software is a plus) Preferred Skills Familiarity with MLS systems Experience with platforms like Dotloop, SkySlope, or similar Maryland real estate knowledge (if applicable) What We Offer Opportunity to grow with a high-performing real estate business Supportive, team-oriented environment Competitive compensation based on experience Team Outings Team Bonuses based on
