Job Description
Job Summary We are seeking a highly organized and professional Administrative Assistant to support executive leadership and assist with the daily administrative operations of our organization. This position serves as the primary point of contact for internal and external communications related to the executive office and plays a key role in maintaining company records, coordinating meetings and communications, and overseeing provider credentialing and privileging processes. The ideal candidate is detail-oriented, able to manage multiple priorities in a fast-paced environment and committed to providing exceptional customer service to both employees and patients. Duties & Responsibilities Handle and maintain official corporate documents and records. Maintain company records, files, and personnel documentation. Prepare correspondence as directed by executive leadership, including the CEO, COO, and CIO. Reconcile company credit card statements and receipts, ensuring all expenses are accurately documented, coded, and submitted in accordance with organizational policies and procedures. Process all incoming and outgoing mail. Manage and maintain the CEO's calendar and meeting schedules. Coordinate onsite and offsite meetings for executive leadership. Assist with preparation of Board of Directors meeting materials and minutes. Attend and record minutes for monthly All Staff and Leadership meetings. Ensure all company forms, publications, and materials remain current and accessible. Maintain accurate and up-to-date information on the company website. Assist the CEO with donation tracking and related correspondence. Coordinate and facilitate new hire onboarding processes. Manage credentialing and privileging activities for all State of Maryland licensed or certified staff in accordance with organizational policy. Provide excellent patient-centered customer service while maintaining professionalism and compassion. Collaborate effectively with staff members to support a positive, team-based care environment. Maintain a professional appearance and demeanor at all times. Ensure compliance with HIPAA regulations and organizational Code of Conduct policies. Qualifications Previous administrative and executive support preferred. Strong organizational and multitasking skills. Excellent verbal and written communication abilities. Ability to maintain confidentiality and handle sensitive information appropriately. Proficiency with Microsoft Office and general office systems. Experience with healthcare operations, credentialing, or medical office administration preferred. Ability to work independently and collaboratively within a team environment.
