Administrative Assistant

Description We are looking for an experienced Administrative Assistant to join our team in Augusta, Maine. In this long-term contract position, you will play a key role in ensuring smooth office operations and providing essential support to leadership and staff. This role is fully onsite and offers an opportunity to work in a beautifully restored historic building.

Responsibilities:

• Schedule and coordinate meetings as requested, ensuring all arrangements are handled efficiently.
• Manage daily office tasks, including drafting letters, memos, and reports.
• Maintain both physical and electronic filing systems to ensure organized record-keeping.
• Monitor inventory and order office supplies to meet operational needs.
• Collect and distribute incoming mail in a timely manner.
• Prepare, format, proofread, and edit documents for executive presentations and board meetings.
• Arrange travel accommodations and itineraries for staff members as needed.
• Serve as the first point of contact by answering inbound calls and addressing inquiries.
• Assist with data entry and maintaining accurate records.
• Perform other administrative duties as assigned to support the office's functionality. Requirements
• Proven experience in administrative assistance or office management.
• Strong organizational and time management skills to handle multiple tasks effectively.
• Excellent interpersonal skills and a proactive, approachable attitude.
• Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
• Ability to coordinate meetings and manage schedules efficiently.
• Familiarity with maintaining digital and physical filing systems.
• Skilled in handling travel arrangements and logistics.
• Capable of proofreading and editing documents with attention to detail.
