Resident Services & Administrative Coordinator Location:
Portland, ME Schedule:
3-4 days per week
Compensation:
$22-$23/hour Position Overview A well-established residential community is seeking a highly organized, personable, and service-oriented professional to serve as the first point of contact for residents, visitors, and vendors. This role combines administrative support, resident engagement, and community coordination responsibilities. The ideal candidate is patient, approachable, and able to balance empathy with professionalism while helping residents navigate questions, resources, and day-to-day needs. Key Responsibilities Serve as the primary point of contact for resident inquiries, concerns, and requests, ensuring a welcoming and supportive experience. Answer and direct incoming phone calls, emails, and visitor inquiries in a professional and courteous manner. Provide information regarding community services, activities, resources, and general resident needs. Create and distribute a weekly community newsletter using Canva, including activity schedules, announcements, and programming updates. Maintain accurate resident records, files, and administrative documentation. Coordinate community communications, event reminders, and resident notices. Assist with scheduling appointments, meetings, and community activities. Support office operations through data entry, filing, document preparation, and database maintenance. Monitor and order office supplies and assist with vendor coordination as needed. Receive and distribute mail, packages, and deliveries. Help organize resident events and community programs, including room reservations and activity logistics. Maintain confidentiality while exercising sound judgment and professional boundaries. Qualifications Previous experience in an administrative, receptionist, resident services, customer service, or office support role. Strong interpersonal skills with a friendly, outgoing, and patient demeanor. Ability to communicate effectively with individuals from diverse backgrounds. Excellent organizational skills and attention to detail. Proficiency with Microsoft Office, email systems, and general office technology. Experience creating newsletters, flyers, or communications using Canva is highly preferred. Comfortable managing multiple priorities in a fast-paced environment.
