Job Description
Administrative Assistant Job Description:
Chamberlain Homes, a builder of quality homes, apartments and light commercial buildings, is looking to fill the position of Administrative Assistant. This Assistant will manage a multitude of tasks.Key Responsibilities:
- Full-time position Monday through Friday, with occasional overtime, if needed, working from our Saco/Scarborough office. Flexibility for right candidate.
- Provide support services to Owner/General Contractor, Operations Manager, Job Foreman, Real Estate Broker, and Bookkeeper/Human Resources.
- Maintain subcontractor insurance compliance (requesting annual insurance certificates, revising subcontractor form agreements, etc.).
- Assist with the monthly construction requisitions, coordinating inspections.
- Greet customers, vendors, and walk-ins, answering incoming phone calls, all the while multitasking on other items.
- Receiving and distributing mail, packages, and courier deliveries.
- Processing outgoing mail and managing electronic and paper filing system.
- Order and maintain office supplies.
- Operate office equipment, copier, scanner, phone system, and computers.
- Other duties as assigned to help keep office running smoothly. Qualifications
- High school diploma necessary, an associate's degree would be a plus.
- Previous experience working in an office setting (2-3 years helpful).
- Construction background extremely helpful, but not necessary.
- Proficiency in Microsoft Word, Excel, Office 365, Outlook, and Adobe Software, and computer programs in general.
- Excellent organizational and time management skills and attention to detail.
- Ability to work independently and manage multiple projects simultaneously.
