Job Description

Alpena Public Schools is looking for a 12 month Secretary for the High School Principal. Internal applications will be accepted until the end of the day June 2, 2026. More information is included in the job description.

SUMMARY:
Under the supervision of the Principal, provides support to the principal in a wide range of office and school operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Assists with event productions such as Freshman Orientation, conferences, Open House, Baccalaureate, Senior Experience Day, Senior Celebration, Rotary Luncheon, commencements/graduation ceremony, honors programs (Student of the Week/Month, Top 10%), etc. Coordinates details for ongoing committees for the high school principal, (i.e. KAPUT, senior planning team, etc.) Produces social media posts at the discretion of the principal. Anticipates and provides hospitality to all staff, students, visitors and committee members at the high school. Acts as a liaison between the Leadership Class, the principal and staff members. Assists/orientates substitute teachers. Processes attendance/payroll (timesheets) for building staff. Attends weekly Ad Staff Meetings and takes notes for the administrative team. Maintains instructional assistant schedules and coverage daily. Assists with required reports. Takes/transcribes notes for correspondence. Assists with building bulk mailings. Maintains employment records for staff, including emergency forms, personnel files, and parking passes. Processes field trip and school volunteer requests, including volunteer and driver forms. Works in conjunction with the High School Business Clerk and the Main Office/District Switchboard Secretary. Performs duties relating to staff and student needs such as accidents, illness and other emergencies as necessary. Provides lunch coverage for the switchboard when needed. Processes staff, student, and visitor accident reports. Serves as confidential secretary to principal(s). Reviews the principal's mail and brings attention to important pieces. Completes responsibilities and unsupervised tasks with own vehicle for any necessary off-site duties. Places and receives telephone calls, takes messages, routes calls and sets appointments. Maintains school records and files for building, principal and related requirements. Types, prepares, distributes, files records/reports, correspondence, etc. related to building functions and principal needs. Serves in a backup capacity in entering student demographic data on student information system, including but not limited to, changes to student profile updates, tracking annual student forms (technology, code of conduct, handbook compliance, etc.) at administrator's discretion and request. Maintains confidentiality of records and student matters. Follows FERPA regulations as it pertains to student information. Attends professional development to complete required duties as assigned. Able to flex hours as required to accommodate the various needs of the building. Interprets, applies, explains, and follows district policies and school procedures and regulations. Maintains regular and reliable attendance. Reviews email communications regularly and responds as needed. Performs other duties as assigned.

Daily placement/coverage of instructional assistants.
QUALIFICATION REQUIREMENTS

EXPERIENCE
Associate degree and 3-5 years of previous office experience is preferred; High school diploma or general education degree (GED) and one year of previous office experience is required.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively to parents, staff, students and community members.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, percent, and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common-sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. OTHER SKILLS and

Demonstrated ability to use various software applications, including Word, Excel, and Google Suite. Ability to develop effective working relationships with parents, students, staff, and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
