Provides secretarial/administrative support to the administration suite and leadership as requested. Duties include, but are not limited to, typing forms/correspondence, preparing documents and reports assisting individuals in person and over the phone, filing system maintenance and serving as liaison for volunteer services.
Essential Duties:
Types letters, correspondence, forms, reports and other documents.
Serves as key administrative contact person for the administrative suite. Screens visitors and telephone calls, records and relays messages, and provides information and assistance; informs supervisor of situations warranting further attention.
Schedules meetings and special activities, coordinates arrangements for meetings/special activities, and assembles/prepares required materials; attends meetings and records meeting minutes as directed.
Maintains policy and procedure database for Sparrow Eaton Hospital. Assists department leaders with updating policies as required.
Orders supplies.
Prepares and maintains on-call calendars for house supervisor and admin on-call.
Maintains supervisor's calendar and schedules tentative appointments. Maintains hospital-wide conference room calendar and requests.
Reviews divisional/departmental documents and reports to assure accuracy and completeness of information; contacts others as necessary to confirm data or resolve errors.
Assembles materials for reports and surveys as directed.
Performs a variety of tasks in support of committees within Sparrow Eaton Hospital including Environment of Care Committee, Infection control and Accreditation Committee.
Serves as a liaison to system volunteer services. Supports hospital Auxiliary by recruiting members, coordinating meetings, member communication and other functions as requested. Supports hospital gift shop by preparing bank deposit and payroll deductions.
Prepares bank deposit for receipts from Cafe and AL!VE.
Attends staff meetings and in-service programs.
Supports and serves as a role model for our mission, vision, values, and customer service initiatives. Adheres to the organization's policies and procedures and compliance guidelines.
Performs other duties as assigned. Job Requirements General Requirements

Work Experience - Minimum of two years of related secretarial/administrative experience
Education - High school diploma or GED
- Additional coursework/ training in office management, business or related field
Specialized Knowledge and Skills - Working knowledge of office procedures
- Knowledge and familiarity with Word, Excel, Outlook and Power Point
- Knowledge and understanding of functions of assigned division and departments
- Written, typing and computer skills necessary for the creation and compilation of various documents, communications and reports
- Interpersonal skills necessary to provide courteous and accurate information, on the phone and in person, to all levels of staff, patients, families and others
- Ability to work with and appropriately handle confidential and sensitive material
- Skills necessary to work independently and exercise initiative, proper judgment and proper discretion in performing administrative duties
- Organizational skills to prioritize work flow and maintain divisional/ departmental files
- Mental ability to work on tasks requiring accuracy and attention to detail, adapt and respond to multiple priorities and demands, and handle information of a confidential nature
- Physical ability to properly operate required office equipment
