Administrative Assistant - Director of Federal & State Programs Chandler Park Academy is a PreK-12 public charter school district serving the Harper Woods community. We focus on strong instruction, consistent routines, and a culture of respect and belonging so every student can achieve at high levels. Position Summary The Administrative Assistant provides comprehensive administrative and organizational support to the Director of Federal & State Programs. This position requires exceptional attention to detail, strong organizational and analytical skills, and the ability to manage multiple priorities in a fast-paced environment while maintaining confidentiality and professionalism. The successful candidate will collaborate effectively with both internal and external stakeholders to support efficient federal and state programs administration. Employment

      12-Month Position Essential Duties and Responsibilities
      • Provide direct administrative support to the Director of Federal & State Programs.
      • Process purchase orders, invoices, travel requests, and related administrative paperwork.
      • Track grant and document expenditures, monitor deadlines and assist with the completion and submission of reports and required documentation.
      • Maintain accurate records, files, and confidential information in accordance with federal and state program guidelines and district policies.
      • Draft, edit, proofread, and distribute correspondence, reports, and presentations.
      • Manage calendars, coordinate appointments, schedule meetings and prepare meeting materials.
      • Coordinate communications with school staff, administrators, state agencies, and community partners.
      • Address email and telephone inquiries promptly, delivering exceptional service to both staff and members of the public. Qualifications
      • High school diploma required, Associate's Degree or higher preferred.
      • Minimum of 3 years of administrative assistant or office management experience preferred. Experience supporting executive-level administrators is preferred.
      • Experience working in a school district or educational setting is a plus. Required Knowledge, Skills, and Abilities
      • Advanced proficiency in the following
      Productivity Suites:
      o Microsoft 365 (Word, Excel, PowerPoint, and Outlook) o Google Workplace (Docs, Sheets, Slides, Keep, Drive, Calendar, Meet) o Zoom
      • Strong computer skills with the ability to quickly learn new software applications.
      • Exemplary proficiency in both written and oral communication.
      • Strong organizational and time-management abilities.
      • Excellent critical thinking skills.
      • Ability to work efficiently in a fast-paced environment with changing priorities.
      • Ability to prioritize multiple assignments and consistently meet deadlines.
      • Ability to work independently while also functioning effectively as part of a team.
      • Ability to maintain confidentiality and exercise sound judgment.
      • Meticulous attention to detail and commitment to producing accurate, high-quality work.
      • Ability to work effectively with a supervisor who maintains high standards for organization, accuracy, and quality, while responding positively to constructive feedback and detailed expectations.

      • Ability to establish and maintain positive working relationships with administrators, staff, parents, and community members. Physical Requirements
