Chem-Trend has a singular focus of providing innovative solutions for the die casting, polyurethane, rubber, composites, tire, thermoplastic, wood composite, and paper impregnation industries. The Administrative Assistant I provides proactive administrative, coordination, and process support to various departments and leaders across the organization. This role is responsible for coordinating day-to-day administrative activities, supporting meetings and travel logistics, and maintaining records and office resources. This position requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment. The Administrative Assistant I must demonstrate sound judgment, discretion, flexibility, and the ability to work effectively with employees and leaders across different departments, levels, and cultures. Administrative Assistant I Responsibilities Provide administrative support to Chem-Trend North America, Global Services, Marketing & Technology, Sales, and other North America Departments, including data management, record retention, supply ordering, reporting, appointment coordination, meeting scheduling, visitor coordination, and telephone coverage. Use technology tools to organize information, streamline communication, support scheduling, manage shared documents, and improve team productivity. Share knowledge of technology and champion technology to support other departments. Support the creation of reports, tracking documents, presentations, forms, and other tools that improve visibility, organization, and decision-making Coordinate meetings, including preparing agendas, reserving rooms and equipment, ordering and serving lunches, and managing setup and cleanup. Arrange domestic and international travel for individuals and training groups visiting Chem-Trend North America, including hotel accommodations, transportation, itineraries, agendas, and miscellaneous travel needs. Maintain inventory and organize office supplies, including general office, catering, holiday, and celebration supplies. Support Reception operations, including weekly organization, phone coverage, and coordination of details for onsite visitors, guests, and events. Communicate policies, procedures, and information clearly and professionally with employees and leaders. Qualifications 2+ years of administrative support experience; Bachelor's degree preferred Experience with Adobe or other creative/design programs preferred Experience supporting multiple leaders or departments in a complex environment Advanced proficiency with Microsoft 365 tools, including Outlook, Excel, PowerPoint, Teams, SharePoint, OneDrive. Experience using technology to improve administrative processes, communication, tracking, or reporting. Experience creating or maintaining templates, procedures, trackers, forms, or shared digital resources.
