Job Description

Position Summary The Receptionist / Administrative Assistant is the first point of contact for visitors, employees, and business partners. This role provides front-office support while assisting multiple departments with administrative tasks in a fast-paced utility construction environment. The ideal candidate is organized, professional, and able to juggle priorities while supporting both office staff and field operations. Key Responsibilities Greet visitors, vendors, and employees in a professional and friendly manner Answer and route incoming phone calls and emails Maintain a clean, organized, and welcoming reception area Coordinate visitor access, meeting rooms, and basic office logistics Provide administrative support to operations, HR, accounting, and management teams Assist with data entry, filing, scanning, and document organization Prepare correspondence, reports, and basic spreadsheets as needed Track and distribute incoming and outgoing mail and packages Help manage office supplies, uniforms, PPE, and equipment tracking Coordinate calendars, meetings, and travel arrangements Qualifications High school diploma or equivalent (associate degree preferred) 1-3 years of experience in a receptionist or administrative support role Experience in construction, utilities, or field-based industries preferred Strong communication and customer service skills Proficiency in Microsoft Office (Outlook, Word, Excel) Ability to multitask, prioritize, and work independently
