Job Description
Position Summary The Administrative Assistant serves as the first point of contact for the Literacy Center, ensuring a welcoming, organized, and efficient front office environment. This role supports daily operations by managing reception duties, coordinating schedules, and assisting program and development staff to help the center run smoothly and effectively. This position is 16 hours per week - Tuesday & Thursday from 9:00 am to 5:00 pm. Key Responsibilities Front Desk & Reception Greet and welcome all visitors, participants, and partners in a professional and friendly manner Check in visitors and maintain visitor logs Answer and route incoming phone calls, taking messages as needed Provide general information about programs and services Office & Administrative Support Maintain organization of the reception area and shared spaces Manage and maintain office supply inventory; order supplies as needed Assist with data entry, filing, and document organization Support general administrative tasks to ensure efficient daily operations Scheduling & Facility Coordination Manage and coordinate schedules for room and space usage within the center Maintain calendars for meetings, programs, and events Communicate scheduling needs and updates with staff and external partners Program & Development Support Assist program staff with identified support which may include but not be limited to: communication with program participants and volunteers, data entry, classroom set up and testing procedures. Provide logistical support for development activities, meetings, and donor engagement Assist with updating basic marketing materials (flyers and social media graphics) using platforms such as Canva Help prepare materials, packets, and other resources as needed Other Duties Support special projects and events as assigned Collaborate with team members to support the mission of the literacy center Perform other duties as assigned to meet organizational needs Qualifications Required High school diploma or equivalent Strong organizational and time management skills Excellent interpersonal and communication skills (verbal and written) Proficiency with office technology (phone systems, email, Microsoft Office) Ability to manage multiple tasks and prioritize effectively Preferred Previous experience in an administrative, front desk, or customer service role Experience working in a nonprofit, education, or community-based organization Familiarity with scheduling systems and basic data management Ability to speak Spanish Key Attributes Friendly, professional, and welcoming demeanor Detail-oriented and dependable Strong problem-solving skills Ability to work independently and as part of a team Commitment to supporting literacy and community impact
