This position plays a key role in ensuring smooth clinic operations by assisting with administrative tasks, patient scheduling, insurance verification, document management, provider support, and communication between patients and staff. The ideal candidate is proactive, highly organized, and able to manage multiple responsibilities in a fast-paced healthcare environment. Responsibilities Clinic Operations & Administrative Support Support daily clinic operations and administrative functions Coordinate communication between clinical and administrative staff Maintain accurate patient records and documentation Manage incoming and outgoing correspondence, faxes, and emails Assist with preparation of reports, spreadsheets, and operational tracking tools Support compliance initiatives and accreditation-related activities Maintain provider schedules and appointment calendars Assist with obtaining authorizations and required documentation Support billing processes and insurance-related inquiries Answer and route incoming calls appropriately as needed Maintain confidentiality and HIPAA compliance at all times Enter and update patient information within electronic medical records systems Track operational data and maintain organized filing systems Assist with record requests and administrative documentation Qualifications Required Strong organizational and multitasking abilities Excellent verbal and written communication skills Proficiency with Microsoft Office (Excel, Outlook, Word) Ability to work independently and collaboratively within a team environment Ability to maintain confidentiality and professionalism Preferred Experience working in a medical, behavioral health, or substance use treatment setting Experience with electronic medical record (EMR) systems Knowledge of insurance verification and scheduling processes Experience with HIPAA regulations and healthcare administration
