The Treasurer's Department Administrative Assistant is responsible for providing superior customer service to both internal and external parties in order to efficiently and accurately assist the Treasurer's Department in continuing smooth operations.
Experience, Skills and Abilities:
At least 3 years of experience in a similar role in a professional office environment High school diploma or equivalent required Strong written and verbal communication skills in order to effectively communicate in a professional manner with a divergent population Ability to follow, enforce and clearly communicate Treasury Department procedures and policies with fellow employees and the public in a tactful and courteous manner Proficient in the use of computers and Microsoft Office Suite Experience using BS&A preferred, but not required Excellent interpersonal skills Ability to work under pressure and make decisions quickly and accurately The experience, skills and abilities listed above are intended to represent the minimum skills and experience levels associated with performing the duties and responsibilities related to the Treasurer's Department Administrative Assistant position. Essential Job Functions:
Offers superior customer service functions for public customers and internal departments on phone calls and in-person at front counter. Receives, receipts and records payments for taxes, building permits, licenses, water bills and other fees. Maintains daily ledger of transactions and records collections in the proper accounts. Assists in processing tax payments and computer entries during tax collection seasons. Maintains mortgage records, tax rolls and general tax information. Responds to information requests, concerns and problems directed to the department by Township employees, other departments, outside agencies, and the general public as needed to coordinate activities, exchange information, or resolve problems. Assist with maintenance of all purchasing records and perform entry for departmental purchasing. Assists with preparation of monthly and annual reporting of departmental activities. Maintains department filing system and Records Retention Schedules. Maintains inventory of office supplies and equipment; ensures availability of adequate supplies and initiates requisitions for purchasing new or replacement items. The preceding functions are intended to describe the general nature and level of work for the Treasurer's Department Administrative Assistant. They are not to be construed as an exhaustive list of all job duties performed by personnel labeled to this classification. The Administrative Assistant performs other related duties as required.
Physical Demands and Working Conditions:
The Treasurer's Department Administrative Assistant spends the majority of their time in an office setting with a controlled climate where they sit and work on a computer for extended periods of time. Duties include, but are not limited to, communicating by telephone, email or in person, and moving around the office or travel to other locations to attend training and meetings as necessary.
Supplemental Information:
Hourly rate will be based on experience and will range from $24.78 per hour to $27.52 per hour. Generally, the position requires 8 to 12 hours per week with high priority on flexibility between the hours of 10am and 1pm to account for fluctuations in customer support. Regular working hours will be determined by the Township Treasurer.
