Job Description
Key Focus Areas Data Management:
Maintaining enrollment records, waitlists, and reportingOutreach:
Supporting social media, marketing, scheduling tours, and conferencesDirector Support:
Providing direct administrative assistance and calendar managementFamily Support:
Serving as a welcoming and responsive point of contact for families and community members Core Responsibilities Administration & Operations Manage daily office tasks, including answering phones, managing calendars, greeting visitors, and responding to correspondence Support the administrative team with PreK for All enrollment, events, and other school-related activities Prepare and distribute internal and external communications, including newsletters, announcements, memos, and reports Maintain accurate and confidential records and manage inventories and budgets for office and classroom needs Support the onboarding of new team members by providing necessary resources and orientation materials Support childcare staff in student "move-ups" and transition processes between classrooms Maintain a welcoming, organized, and professional office environment Enrollment & Data Tracking Oversee enrollment databases and student/family records with a high level of accuracy Build and update spreadsheets to track attendance, enrollment trends, and key metrics Guide prospective families through the enrollment process with care, professionalism, and clarity Assist with state reporting and documentation requirements as needed Marketing & Events Manage the center's social media presence and assist in creating marketing materials Schedule and follow up on family tours, ensuring a positive first impression Coordinate logistics for conferences, staff meetings, and center-wide events Assist with promoting Early Childhood Center programs and community engagement opportunities Director & Team Support Provide executive-level support, including scheduling, correspondence, and priority tasks Assist in the preparation of presentations and documentation for leadership Collaborate with team members to streamline processes and improve operational efficiency Maintain strict confidentiality regarding sensitive student and staff information in accordance with FERPA and district expectations Qualifications & Requirements High school diploma required; Associate's or Bachelor's degree preferred Previous administrative experience required; experience in education, childcare, or a corporate support setting preferred Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace (Docs, Sheets, Drive) Excellent verbal and written communication skills Strong organizational skills with the ability to prioritize and manage multiple responsibilities Ability to remain professional, adaptable, and calm in a fast-paced environment High level of integrity and ability to handle confidential information appropriately Ability to work collaboratively with staff, families, and community members Must successfully complete all state-required background checks and licensing clearances Physical Requirements Ability to work in a standard office and school environment Frequent sitting, standing, walking, bending, reaching, and movement throughout the building Ability to use standard office equipment and technology for extended periods of time Ability to communicate effectively in person, on the phone, and through written communication Some lifting, carrying, and transporting of office or classroom materials may be required Compensation & Benefits Competitive hourly rate based upon experience and qualifications Comprehensive health insurance benefits Paid vacation time and holidays Year-round employment opportunity Supportive and collaborative work environmentSimilar remote jobs
