Job Description
Summary Lake Shore Public Schools is seeking an organized, professional, and customer-focused Secretary/Receptionist to join the team at Rodgers Elementary. This position serves as a key point of contact for students, families, staff, and visitors while providing clerical, secretarial, and administrative support to the building principal and school office. The successful candidate will be dependable, welcoming, highly organized, and able to manage multiple responsibilities in a busy elementary school environment with professionalism, discretion, and confidentiality. Responsibilities Provide clerical, secretarial, and administrative support to the building principal and school office. Serve as a primary point of contact for students, parents, staff, and visitors, providing a welcoming and professional office environment. Greet and direct students, parents, visitors, and others entering the school office. Answer and direct telephone calls, respond to inquiries, and accurately take and relay messages. Maintain student attendance records and other required student information. Enter and maintain student information within PowerSchool, including enrollment, student records, and related data. Prepare, copy, distribute, and maintain notices, correspondence, reports, forms, and other school documents. Prepare purchase orders and check requests and assist with other routine office financial processes. Monitor and maintain office supplies, inventories, and materials. Receive, sort, and distribute incoming mail and prepare outgoing correspondence. Maintain accurate documents, files, and records while safeguarding confidential student and employee information. Respond to inquiries from students, parents, employees, and visitors and facilitate communication among appropriate parties. Evaluate routine office situations, take appropriate action, and direct individuals to appropriate personnel when necessary. Collaborate with the principal, teachers, support staff, and district personnel to support the efficient operation of the school office. Perform other duties as assigned by the building principal or district administration. Qualifications High school diploma or equivalent required; associate's degree or commensurate experience in secretarial science, business, office administration, or a closely related field preferred. Previous successful experience with office management preferred. Proficiency with Microsoft Office applications, including Word, Excel, and Outlook. Knowledge of or experience with PowerSchool preferred. Strong organizational and time-management skills with the ability to process information and paperwork accurately. Excellent verbal and written communication skills. Ability to maintain confidentiality when handling student, employee, and other sensitive information. Strong interpersonal skills and the ability to establish positive, cooperative working relationships with students, families, staff, and community members. Ability to prioritize responsibilities, solve routine job-related problems, and work effectively with limited supervision. Knowledge of general office management procedures.
