Position Summary The Administrative Assistant - Systems & Applications Support is responsible for supporting and maintaining the company's office and construction management systems. This role focuses on ensuring accurate data entry, system integrity, and effective use of digital tools across operations, project management, and accounting teams. Working closely with internal stakeholders, this position helps streamline workflows, improve data accuracy, and support day-to-day system usage within a construction environment. Key Responsibilities Systems & Software Support Support the day-to-day use of company software and applications Assist with system setup, data organization, and ongoing maintenance Provide basic troubleshooting and user support Data Management & Accuracy Enter, review, and maintain accurate operational and project-related data Ensure consistency and integrity of information across systems Maintain organized digital records and documentation Reporting & Operational Support Generate reports and assist with tracking performance Support management with data-related tasks and information requests Administrative & Office Support Assist with general administrative tasks, office systems and HCSS applications Support document preparation, formatting, and organization Maintain efficient digital filing and workflow processes Process Improvement & Training Identify opportunities to improve system usage and efficiency Assist in developing and maintaining standard procedures Provide support and guidance to staff on system use Qualifications Education & Experience Diploma or certificate in Office Administration, Business, or related field (preferred) 2+ years of administrative or systems-related experience Experience in a construction or industrial environment is an asset (preferred) Technical Skills Strong proficiency in Microsoft Office, particularly Excel Experience working with business or construction-related software is preferred Comfortable learning and using multiple systems and applications Core Competencies High attention to detail and data accuracy Strong organizational and time management skills Problem-solving mindset with the ability to adapt Effective communication and teamwork skills Work Environment Office-based role with regular interaction with operations and project teams Fast-paced environment supporting active construction work
