Investment Services Administrative Assistant Department:
Deposit Services & Investments Position Type:
Full-Time, Non-Exempt Compensation Range:
Starting $23.00 - $30.00 per hour
Reports To:
President/Chief Investment Officer
POSITION SUMMARY
This position serves both internal and external customers and every effort should be made to do so whenever the opportunity presents itself. This position does not involve direct day-to-day supervision of employees. Confidentiality of customer information cannot be overstated. It is expected that all customer information be kept in the strictest confidence. We must do whatever it takes to ensure that our relationships with the public are not jeopardized. The primary function of this position is to assist the Financial Advisors. The position provides administrative support, assists with all correspondence including phone calls, emails, and letters, prepares materials for advisor/customer meetings, processes new account opening paperwork and data entry, assists with SEC compliance tasks, and many other duties as assigned. The position will work closely with Raymond James customer support teams and use Raymond James software.

DUTIES & RESPONSIBILTIES
Assist advisors with all customer correspondence, including phone calls, emails, letters, scheduling internal and external appointments and maintaining advisors' calendars Possess a basic understanding of industry knowledge to effectively handle basic customer inquiries and provide quotes Prepare materials for customer/advisor meetings Accompany advisors to enrollment meetings Process paperwork and complete data entry for new accounts and maintenance on existing accounts Communicate with customers in a manner that will maintain good relations and provide excellent service, including over-the-phone and person-to-person Interface with custodian customer service departments directly to resolve problems, seek explanations, and ultimately meet deadlines Create and maintain records and files Ensure required customer paperwork is current with custodian and industry requirements, rules, and regulations Process customer paperwork and follow up on accounts Maintain database and create reports using portfolio software programs Assist with brokerage marketing efforts, including seminars Attend required staff meetings Follow security procedures Support a diverse and inclusive culture Abide by all policies, procedures, and expectations set forth in the Employee Manual or requested by management HOURS 8:00am - 5:00pm, Monday through Friday; schedule should remain flexible for instances when presence is needed at plan enrollment meetings It is expected that work be completed, therefore additional hours may be required in order to accomplish certain tasks Timecards are required and any time over 40 hours will be paid at the rate of time-and-one-half
COMPENSATION RANGE
The starting compensation range for this position is: $23.00 - $30.00 per hour. This range reflects the base wage for this position. Please note that the specific compensation for this role will be determined based on your experience, qualifications, and internal equity considerations.
JOB REQUIREMENTS
Education :
High school diploma or equivalent required; some college education preferred in related field
Experience :
At least one year of financial industry and/or administrative experience is preferred
PHYSICAL DEMANDS/WORK ENVIROMENT
Manual dexterity for repetitive use of computers, calculators, and telephones Sit for extended periods of time Primary work environment for this position is that of a typical office setting
