Full Job Description Position Title:
Administrative Assistant Position Summary:
The Administrative Assistant supports the mission, ministry, and core values of Servant of Christ Lutheran Church by providing comprehensive administrative and clerical support to pastors, staff, and church committees. This position plays a key role in church communications, worship support, hospitality coordination, and database management, all while fostering a welcoming and Christ-centered environment.
Primary Responsibilities:
Reception & Communications Serve as the primary receptionist, welcoming members and visitors with warmth and hospitality in alignment with the church's Christian values. Answer and direct incoming calls; respond to general inquiries. Compile, prepare, and distribute the weekly electronic eNews. Coordinate and distribute weekly prayer letters. Design and produce bulletins and projection screens for all Sunday and special services in collaboration with the Worship Director. Maintain attendance records for all worship services. Manage digital communication across church social media platforms (Facebook/Instagram). Assist with preparation of annual Parochial and Congregational Reports. Worship & Hospitality Support Coordinate Sunday morning hospitality teams, including volunteers for projection, camera operation, sound, prayer vigils, kitchen, and coffee setup. Order and maintain communion supplies and other worship-related materials. Administer the Baptism Ministry, including scheduling, collecting information, preparing certificates, and ordering related items (candles, Bibles, napkins, nametags). Monitor and maintain candle inventories throughout the liturgical year. Membership & Database Management Maintain and update church records in Servant Keeper, including membership data, mailing lists, and directories. Assist with new member onboarding, including preparation of welcome packets and follow-up correspondence. Coordinate and update prayer chain requests. Maintain accurate records for education and confirmation programs. Administrative Support Provide general clerical support: copying, filing, data entry, mail handling, and scheduling. Monitor and distribute all church mailings and emails as needed. Maintain confidentiality of sensitive information and communications. Attend and take minutes for weekly and quarterly staff meetings. Identify and recommend improvements for office procedures and assist in implementation of approved changes. Manage altar flower requests and bulletin notices. Assist with graphic design projects and update bulletin boards as needed. Perform additional tasks and special projects assigned by program staff or the Office Manager.
Qualifications and Skills:
High school diploma required; additional business, secretarial, or administrative coursework preferred. Minimum of two years' administrative or secretarial experience, with demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint, Publisher). Familiarity with Canva, graphic design, and presentation software (e.g., ProPresenter) strongly preferred. Excellent communication and interpersonal skills; able to interact effectively with staff, volunteers, and congregation members. Strong organizational skills with the ability to multitask, prioritize, and meet deadlines. Must maintain confidentiality and demonstrate a high level of integrity and professionalism. Ability to lift up to 25 pounds and operate standard office equipment. Must be a practicing Christian and committed to the mission of the church.
Pay:
$24.00 - $27.00 per hour
