Job Description

Get Directions The Park Rapids School District is seeking a dedicated and organized individual to join our team as a part-time secretary at the Park Rapids Area Virtual Academy. The ideal candidate will provide administrative support to ensure the efficient operation of the Virtual Academy program. This role involves managing communications, maintaining records, and assisting with various administrative tasks to support the overall mission of the organization.
Position specifics:
Monday through Friday, 12 hours/week. This position can be virtual, but would prefer on site as long as duties are completed during working hours of Monday through Friday 8am to 4pm. Responsibilities
  • Perform clerical duties such as responding to emails, and managing correspondence.
  • Managing weekly attendance for students who attend the virtual academy through SYNERGY Student date system.
  • Maintain organized filing systems, both electronic and paper, to ensure easy access to important documents.
  • Enter student data into Synergy, schedule classes for students.
  • Support the team with data entry and maintenance of databases.
  • Work with PRAVA coordinator on reporting and scheduling.
  • Provide customer service to visitors and clients, addressing inquiries and directing them to the appropriate personnel.
  • Collaborate with team members on special projects and initiatives as needed. Requirements
  • High school diploma or equivalent; additional education or training in office administration is a plus.
  • Proven experience as a secretary or in a similar administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) proficient in Google, and comfortable with various office equipment.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent verbal and written communication skills.
  • Attention to detail and a commitment to maintaining confidentiality.
  • Ability to work independently and as part of a team.
  • Flexibility to adapt to changing priorities and work schedules.
  • Previous experience in a nonprofit or community-focused organization is preferred but not required.
Subject to Secretarial Test provided by District to show proficiencies in working with Word and Excel. Must pass a background study.
