On-site at The Wildcat Sanctuary, Sandstone, Minnesota Position Overview The Administrative Assistant provides hands-on support to the Executive Director and Operations Director while ensuring the smooth day-to-day operation of the Sanctuary's administrative functions. This role is ideal for someone who thrives in a fast-paced, mission-driven environment and is highly responsive, flexible, organized, and proactive. The successful candidate enjoys managing multiple priorities, anticipating needs, and supporting a wide variety of administrative and operational tasks. This is a full-time, on-site position at The Wildcat Sanctuary. The typical work schedule is Monday through Friday, with occasional evenings and weekends required for fundraising events and other organizational needs. The Wildcat Sanctuary's mission is to provide a natural sanctuary to wild cats in need and inspire change to end the captive wildlife crisis. We are a leading, accredited, non-profit sanctuary that is internationally recognized for our work. Our marketing and development efforts reach over 5.45 million people around the world and raise $3.6 million annually to support the 150+ wildcats we care for. We partner with the Big Cat Sanctuary Alliance, the Association of Zoos and Aquariums (AZA), and the U.S. Fish and Wildlife Services (USDA Confiscations Network to save illegally trafficked wild cats. The Wildcat Sanctuary is nestled between the beautiful lakes, fields, and forests in rural Sandstone, Minnesota, conveniently located between Duluth and the Twin Cities of Minneapolis and St. Paul. Key Responsibilities Leadership Support (50%) Provide direct administrative support to the Executive Director and Operations Director. Manage calendars, scheduling, and day-to-day administrative needs. Assist with preparation of documents, presentations, meeting materials, and internal communications. Coordinate and book travel arrangements for team members as needed. Support Board communications, meetings, and administrative functions. Handle confidential information with discretion and professionalism. Prepare credit and debit card statements, receipts, and supporting documentation for monthly reconciliation. Anticipate needs and proactively solve problems. Office Operations (30%) Manage incoming mail, packages, and deliveries. Maintain organized physical and digital filing systems. Order and manage office supplies for multiple departments. Coordinate meeting logistics, including room setup and cleanup. Help ensure the office environment remains organized, welcoming, and efficient. Event Support (15%) Provide on-site support for 2-3 annual donor and fundraising events. Assist with event setup, logistics, operations, and cleanup. Other Duties (5%) Perform other duties and special projects as assigned. Qualifications and Experience Two or more years of administrative, office support, or executive support experience. Strong organizational, planning, and time-management skills. High level of responsiveness, adaptability, and flexibility. Excellent attention to detail and follow-through. Professional verbal and written communication skills. Ability to manage both routine administrative tasks and unexpected priorities. Proficiency in Microsoft Office applications, including Word, Outlook, and Excel, as well as Google Workspace. Comfortable working around and accommodating Sanctuary dogs and domestic cats in the workplace. Reliable transportation and the ability to commute to our rural location year-round. Physical Requirements Must be able to perform the essential functions of the position, including event setup and breakdown; moving and arranging tables, chairs, coolers, and other event equipment; transporting donations, supplies, and packages weighing up to 30 pounds; and standing and walking for extended periods. This position requires lifting, carrying, pushing, pulling, bending, reaching, and occasional outdoor work in varying Minnesota weather conditions, including heat and humidity. Essential functions may be performed with or without reasonable accommodation. Shared Workplace Responsibilities All employees contribute to maintaining a clean, safe, and welcoming work environment. Responsibilities include cleaning and organizing offices and common areas; taking out garbage and recycling; dusting; sweeping, mopping, and vacuuming floors; restocking supplies; and assisting with other housekeeping tasks as needed.
