Ziegler CAT is seeking a highly organized and customer-focused Service Call Administrator to join our Power Systems team. In this role, you will be responsible for managing and closing service calls for the branch. The Service Call Administrator plays a key role in supporting Service by being responsible for closing all service calls, ensuring timely service invoicing, creating necessary POs and provide customer service to internal and external customers. This role will have additional administrative support responsibilities for the branch overall as well. Primary Responsibilities Open Scheduled Services for Preventative Maintenance Close and Invoice service calls Create POs for necessary parts, supplies, or services Generate and edit reports to ensure proper records of services Collaborate with Service Team to troubleshoot and maintain WIP Work with warranty on WIP/service calls Work with AP/AR on PO disputes, questions, or other misc. reimbursements Monitor administrative quality of repairs Follow-up on outstanding payments due to vendors Seeking out answers to warranty questions Work with Sales to collect missing customer information Demonstrate professionalism, integrity, and a commitment to customer satisfaction while supporting a safe and positive work environment. Perform additional duties and responsibilities as assigned. Qualifications High School Diploma or GED required; Associates or Bachelors degree preferred 1-3 years of customer service, administrative support, account coordination, or related experience Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and other business software Experience with Microsoft Dynamics 365 (D365) helpful Strong organizational skills with exceptional attention to detail Excellent written, verbal, and interpersonal communication skills Ability to manage multiple priorities and work effectively in a fast-paced environment Strong problem-solving skills and customer-focused mindset Ability to work independently and collaboratively within a team environment Knowledge of heavy equipment, power generation, industrial service, or related industries a plus
