Job Description
Job Summary We are seeking a reliable, detail-oriented, and organized individual to support daily office operations in a small office setting. The ideal candidate will have a strong will to learn, possess strong customer service skills, can manage multiple tasks and priorities, and experience with common business software platforms. Administrative Support Answer and respond to customer inquiries via phone, email, and in-person interactions. Take accurate notes and messages, ensuring timely communication and follow-up. Organize, maintain, and update office records, files, and documentation. Scan, package, and distribute documents as needed. Manage multiple administrative tasks simultaneously while maintaining accuracy and efficiency. • Accept and process customer payments. • Assist with light bookkeeping duties, including data entry and record maintenance. Support payroll-related administrative tasks and documentation. Maintain organized financial and operational records. Customer Service Provide exceptional customer service with professionalism and courtesy. Build positive relationships with clients and community members. Resolve routine inquiries and direct requests to appropriate personnel when necessary. Marketing & Community Engagement Assist with marketing initiatives and promotional activities. Create and update marketing materials using Canva and Adobe applications. Represent the organization professionally in community involvement activities and events. Support social media, community outreach, and brand awareness efforts as assigned. Preferred Skills Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Proficiency with Google Workspace (Docs, Sheets, Gmail, Drive). Experience using Canva and Adobe software. Basic mathematical and calculation skills. Strong verbal and written communication skills. Excellent organizational and time-management abilities. High attention to detail and accuracy. Ability to maintain confidentiality and handle sensitive information. Dependable, punctual, and self-motivated. Ability to adapt to changing priorities and manage a variety of tasks throughout the day. Previous administrative, office support, customer service, or bookkeeping experience. Strong multitasking and problem-solving abilities. Proven experience in office support or administrative roles with a strong background in clerical tasks and customer service. Familiarity with QuickBooks or similar bookkeeping software is highly preferred.
