Job Description

The hiring range for this position is $54,537 - $60,996. The full range for this position is $54,537 - $76,292. The Office Support Specialist is responsible for performing clerical and administrative duties in the Health and Human Services Financial Services Department. Responsibilities may include collecting, preparing, and reviewing information; processing applications, forms, licenses, permits and other documents; maintaining records and related system or database; public communications including committee minutes. Provide advanced administrative support to departmental staff and/or other offices and agencies, ensuring operational efficiency and coordination. Perform front-desk and/or receptionist activities, such as preparing, sorting, and posting mail or packets; coding and sending bills; greeting visitors; and providing information and assistance in person, via email, phone, or fax. Compose, maintain, edit, transcribe, review, update, scan, and/or distribute various routine and specialized documents and records, including correspondence, reports, transcripts, letters, spreadsheets, notices, and licenses. Maintain and update online systems and databases to ensure efficient storage and retrieval of accurate and consistent data, including data entry and resolution of incomplete information. Monitor and maintain office inventory, supplies, and/or equipment to ensure security and availability. Perform other duties as assigned, of a similar nature or level. High school diploma or GED. Two years of administrative support or related experience. An equivalent combination of education and experience may be considered.
Skills:
Operating a computer and using related software applications. Coordinating and scheduling meetings and events. Utilizing modern office equipment. Preparing and maintaining records and reports. Applying proper grammar, punctuation, and spelling. Maintaining confidentiality. Processing routine and complex forms and documents. Reconciling basic accounts. Utilizing communication and interpersonal skills to interact effectively with coworkers, supervisors, the general public, and others.
Physical Requirements:
Ability to sit or stand for extended periods while working on a computer or interacting with clients. Ability to occasionally lift and carry materials or supplies up to 25 pounds. Ability to bend, reach, stoop, and perform light filing or document handing tasks. Capable of working in a standard office environment with frequent use of phones, computers, and other office equipment. Must be able to perform the essential physical duties of the job with or without a reasonable accommodation.
