Medical, Dental, Vision. Position Overview We are seeking a high-energy, proactive Administrative Assistant to serve as the heartbeat of our St. Louis office. In this role, you will do more than just manage schedules; you will be a strategic partner to our Defense and Engineering leadership teams. You will act as a central liaison, ensuring seamless daily operations through expert calendar management, facility coordination, and high-touch guest relations. The ideal candidate possesses a "can-do " spirit, thrives in a fast-paced environment, and maintains the utmost discretion and professionalism.
Key Responsibilities Executive & Team Support Complex Calendar Management:
Proactively manage and de-conflict heavy Outlook calendars for multiple leaders, ensuring time is optimized for key priorities.
Travel & Expense Management:
Coordinate end-to-end travel logistics and process accurate expense reports via Concur in a timely manner.
Meeting & Event Logistics:
Lead the planning and execution of internal and external meetings, including room booking, AV setup, materials preparation, and catering (including setup/cleanup).
Leadership Liaison:
Serve as a thought partner to the Manager of Executive Administration and provide backup support for other administrative team members.
Front Office & Operations Reception Excellence:
Manage the daily opening and closing of the reception area, providing a premier first impression for all visitors and teammates.
Security & Compliance:
Oversee the visitor check-in process, manage internal/external badging, and conduct third-party screenings.
Facilities Coordination:
Act as the primary point of contact for building management regarding maintenance, office supplies, and mail/logistics (FedEx/UPS).
Financial Administration:
Facilitate invoice processing with the Accounts Payable team to ensure vendor payments are handled promptly.
Culture & Human Resources Support Onboarding:
Partner with HR to coordinate the logistics for new hire arrivals, ensuring a smooth first-day experience.
Culture Building:
Collaborate on the planning and execution of team-building events and office culture initiatives.
Compliance:
Maintain mandatory employment posters and internal distribution lists.
Qualifications Experience:
2 3 years of administrative experience in a professional corporate environment.
Education:
High School Diploma or GED required; Associate's or Bachelor's degree preferred.
Technical Proficiency:
High level of expertise in Microsoft Office Suite (especially Outlook) and experience with SAP Concur is a significant advantage.
Communication:
Exceptional verbal and written communication skills with the ability to interact confidently with executive leadership.
Adaptability:
Proven ability to multi-task, prioritize under pressure, and pivot quickly as schedules change.
Industry Knowledge:
Previous experience in Aviation or Defense terminology is a major plus.
Physical Requirements & Environment Work Style:
This is a 100% on-site position in a professional office setting.
Physical Demands:
Must be able to sit/stand for extended periods, view monitors for technical documentation, and occasionally lift/move up to 15 lbs (e.g., office supplies or mail).
