Job Title:
Front Office Assistant I General Summary of Duties:
Performs various clerical duties such as answering telephones, taking messages, scheduling appointments, inputting/updating patient demographics, collecting payments and scanning information into the electronic medical record.Supervisor:
Clinic Manager Company Performance Statements:
In the performance of their respective tasks and duties all employees are expected to conform to the following: 1. Perform quality work within deadlines with or without direct supervision. 2. Interact professionally with other employees, customers and suppliers. 3. Work effectively as a team contributor on all assignments. 4. Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations. 5. Work in alignment with company culture, "The Great Philosophy".Major Responsibilities/Tasks:
1. Work independently and timely to complete daily job duties in allotted time. 2. Check patients in by verifying address, phone number, insurance information and referring provider and scan insurance cards and driver's license. 3. Collect copays and balances, print receipt for patient and post in patient's electronic medical record. 4. Ensure demographic information is current on all patients and correct forms are loaded in patients' electronic chart. 5. Answer the phone, take messages in electronic medical record, make and cancel appointments and route calls to appropriate staff. 6. Schedule follow-up appointments per provider scheduling protocols. 7. Maintain provider appointment schedules and make changes as requested. 8. Run Summary of Daily Receipts and make deposit at the end of business days. 9. Ensure that all patients have been accounted for in the appointment schedule and mark accordingly, i.e. checked in, checked out, No Show, Cancellation or Reschedule. 10. Call consult referrals and schedule referred patients per protocol. 11. Work cancellation list when appropriate and call No Show patients to follow up on missed appointment. 12. Assists with scanning medical records into the electronic medical record system. Assist in team member training and development. 14. Other duties as assigned.EDUCATION
High school graduation orGED. EXPERIENCE
1. Less than one year medical office experience. One year customer service experience in an office setting. High level of computer skill or the ability to learn computer skills quickly. PRN employees are expected to work a minimum of one (1) day per month.Performance Requirements:
Knowledge:
1. Knowledge of clinic policies and procedures. 2. Knowledge of medical terminology and insurance practices. 3. Knowledge of grammar, spelling, and punctuation to communicate effectively. 4. Knowledge of computer programs and applications. 5. Knowledge of EMR system.Skills:
1. Skill in using office equipment and handling paperwork/filing adequately. 2. Skill in handling incoming phone calls and triaging appropriately. 3. Skill in written and verbal communication 4. Skill in gathering, interpreting, and reporting insurance information.Abilities:
1. Ability to work effectively as a team member with physicians and other staff. 2. Ability to interpret and understand insurance benefits and reimbursement. 3. Ability to flexibly respond to changing demands. 4. Ability to organize and prioritize tasks effectively. 5. Ability to communicate clearly. 6. Ability to work with little supervision. 7. Ability to establish and maintain effective working relationships with patients, employees, and the public. 8. Ability to reason and define problems, analyze root causes, collect data, establish facts and draw valid conclusions to assist patients and staff for excellent customer service.Equipment Operated:
Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.Work Environment:
Position is in a well-lighted office environment. Activities including sitting, standing, walking, reaching, bending and lifting.Mental/Physical Requirements:
1. While performing the duties of this job, the employee is regularly required to talk, hear and sit for long periods of time. 2. Required to stand, walk, sit, bend, stoop and use hands and fingers to grasp and feel. 3. Required to lift up to 25 lbs. occasionally, 10 lbs. frequently. 4. Vision requirements include peripheral vision, depth perception and the ability to focus with frequent computer usage.
