Job Title Project Administrator Business Line/Corporate Support Buildings Reports to Central Practice Leader FLSA Classification Non-Exempt (Overtime Rate 1.5) Project Administrator Garver's growing Central Buildings Practice is looking to add a Project Administrator to our Kansas City, MO Crossroads office. Experience in the engineering/construction industry is not required, but organization, communication, and the willingness to learn are essential. The Project Administrator will be responsible for assisting Project Managers across our Buildings Team with organizational tasks, tracking of various efforts, and coordinating/communicating with our Team, our clients, and our partners. Additionally, performs routine administrative tasks, supports team activities, and assists with maintaining an organized and productive work environment. Essential Functions Coordinating and tracking contracts and related documents with our clients and subconsultants Reviewing, editing, and formatting technical documents Invoice distribution and tracking Construction Administration support, including material and shop drawing submittal coordination and tracking Document preparation and formatting in Microsoft Word and Excel Drafting project correspondence Document printing/compiling for submittal to the client and submittal coordination, including distribution Staff travel coordination Staff professional license renewal General administration tasks as directed IT and Real Estate inventories/assistance Set up, host, and clean-up meetings, lunches, and events (meals, venue, AV, etc.) Manage sensitive and confidential information with a high level of discretion Education and Experience Required Bachelor's degree or equivalent combination of education and relevant administrative experience. 1-3 years of clerical or administrative experience Basic experience in a professional or office environment is a plus Licenses/Credentials Valid Driver's License required for employment and to operate company vehicle as needed to perform duties Preferred Qualifications Basic IT experience Experience in using Microsoft Copilot or AI-enabled productivity tools to improve administrative efficiency preferred. Skills & Competencies Ability to anticipate needs, identify potential issues, and proactively follow up on commitments. Ability to work on multiple projects, tasks, and with multiple Staff concurrently Strong organizational and time management skills Strong customer service and interpersonal skills Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) Strong attention to detail and willingness to learn Effective verbal and written communication skills Positive attitude with a strong work ethic and team-oriented mindset Basic financial understanding as it applies to budget and financial responsibility Ability to follow instructions and work under supervision Physical Requirements Ability to sit for extended periods of time Lifting or carrying up to 30 pounds Pushing or pulling Keyboarding Driving Stooping, crouching, or kneeling Ability to hear, understand, and distinguish speech to communicate in person and on the phone Visual acuity to read printed materials and screens These physical demands reflect those that must be met by an employee to perform the essential functions.
