Job Summary:
The Administrative Assistant for the Safety Department plays a vital role in supporting the safety team by managing documentation, coordinating training sessions, maintaining compliance records, and facilitating communication between field staff and management. This position ensures the smooth operation of safety-related administrative functions within a fast-paced construction environment.Duties/Responsibilities:
Maintain and update safety records, incident reports, training logs, and inspection reports. Ensure all safety documentation is properly filed and accessible for audits or reviews. Assist in preparing reports for internal and external stakeholders. Schedule and coordinate safety training sessions, orientations, and certifications. Track employee training status and notify relevant parties of upcoming renewals or expirations. Assist in monitoring compliance with OSHA, company safety policies, and other regulatory requirements. Help prepare materials for safety audits and inspections. Serve as a point of contact for safety-related inquiries from field staff and subcontractors. Distribute safety bulletins, updates, and meeting minutes. Support the Safety Manager in organizing safety meetings and toolbox talks. Manage calendars, schedule meetings, and handle correspondence for the safety team. Order and maintain inventory of safety supplies and PPE. Assist with onboarding processes related to safety protocols.Required Skills/Abilities:
High school diploma or equivalent; Associate's or Bachelor's degree preferred. 2+ years of administrative experience, preferably in construction or safety-related roles. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent organizational and time management skills. Strong written and verbal communication abilities. Ability to handle multiple tasks and prioritize effectively.Physical Requirements:
