About the Role We are looking for someone who loves being the face of the clinic—someone who brings warmth, professionalism, and reliability into every interaction while helping our practice continue to grow.
Your responsibilities will include:
Greeting families and checking clients in with kindness and professionalism Managing the clinic schedule to ensure smooth, efficient appointment flow Answering phone calls, returning messages, and providing clear information about our services Processing payments and sending invoices or receipts Running and organizing administrative reports within our clinic management software Managing and maintaining our social media presence, helping share the story of our clinic and engage with our community Supporting therapists with various administrative tasks Maintaining a welcoming environment that reflects our core values Ensuring HIPAA compliance and client confidentiality at all times This role is ideal for someone who enjoys both people and process—someone who can balance warmth with organization, empathy with efficiency, and creativity with attention to detail. What We're Looking For The right candidate: Has1-2 years of administrative experience, preferably in a medical, therapy, or healthcare setting Is compassionate and genuinely enjoys serving others Communicates with warmth, professionalism, and confidence Is highly organized, dependable, and attentive to detail Learns new technology and software quickly and enjoys finding more efficient ways to work Is adaptable and embraces change as our clinic continues to grow and implement new systems and procedures Maintains a calm, positive, and solution-focused attitude, even when navigating challenging situations or assisting frustrated clients Is comfortable managing social media and representing the clinic professionally online Thrives in a collaborative, family-centered environment Treats every client and family with dignity, respect, and compassion, believing that each person has inherent worth and purpose How to Apply If this role speaks to your heart and your skill set, we invite you to apply.
