Summary:
Performs and handles a variety of administrative duties in support of a senior leader and their subordinate staff. The Senior Administrative Assistant upholds the EverTrue mission of "Older Adults Living Life to the Fullest", core values and code of conduct with a high degree of confidentiality and integrity.
Essential Duties and Responsibilities:
Develops reports, memos, letters and other documents using word processing, spreadsheet, database, or presentation software. Reviews a variety of materials, including reports, letters, and memos for content, and recommends changes. Coordinates meetings by preparing agendas and supporting documents, planning meeting space, equipment needs and food arrangements; attends meetings to record minutes. Distributes minutes and supporting documents. Uses independent judgment in screening internal and external contacts that include phone calls, mail and in-person contacts to determine next steps; may direct contacts to others or provide information. Conducts research and compiles data or other types of information that is used in reports or presentations, as requested. Coordinates travel arrangements for senior leader. May assist senior leader in the budgeting process by researching information and collecting data from subordinate managers; tracks expenses on a monthly basis and provides information to senior leader. Demonstrates continuous effort and uses independent judgment to improve operations, decrease turnaround times, streamline work processes, and work cooperatively with staff to provide quality service.
Qualifications, Knowledge, Skills & Abilities:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. 3 - 5 years of administrative experience working for a senior leadership-level employee with a strong focus on details, synthesizing information in the preparation of reports and meeting deadlines Must have excellent communication skills exhibiting a high level of customer service, professionalism and confidentiality Proficient computer skills, including electronic mail, record keeping, routine database activity, MS word processing, Excel spreadsheets, graphics, etc. Must be able to work independently, using initiative and self-motivation, and collaboratively with members of a team Ability to solve problems and streamline processes High School diploma or equivalent
