PROGRAM DESCRIPTION
The Moore Community House Early Head Start Program provides early childhood education and health and family support services to low-income families with pregnant women, infants, and toddlers up to age 3.POSITION SUMMARY
The Center Clerk provides front office and administrative support to ensure efficient day-to-day operations of the Early Head Start (EHS) center. This role supports the Center Director by maintaining accurate records, assisting with compliance documentation, and managing front office functions in alignment with Office of Head Start Performance Standards. The Center Clerk serves as the first point of contact for families, visitors, and staff, while ensuring that administrative processes, documentation, and communication systems support a well-organized and compliant center.CORE RESPONSIBILITIES 1. FRONT OFFICE OPERATIONS
Serve as the primary point of contact for families, visitors, and staff entering the center. Answer phones, respond to inquiries, and direct calls appropriately. Maintain visitor logs and ensure adherence to sign-in/sign-out procedures. Support a welcoming, professional, and organized front office environment. Assist with scheduling appointments, meetings, and center events. 2.ADMINISTRATIVE & DOCUMENTATION SUPPORT
Maintain accurate and organized child and family records in accordance with program requirements. Assist the Center Director with tracking, filing, and maintaining required documentation (enrollment, attendance, incident reports, etc.). Ensure files are complete, up-to-date, and audit-ready. Support data entry into program systems and databases. Assist with preparing reports, correspondence, and documentation as needed. 3.COMPLIANCE & RECORD MANAGEMENT
Support compliance with Office of Head Start Performance Standards related to recordkeeping, confidentiality, and documentation. Maintain confidentiality of all child, family, and staff information. Ensure proper storage and organization of files in accordance with program policies. Assist in preparing documentation for monitoring reviews, audits, and site visits. 4.ATTENDANCE & ENROLLMENT SUPPORT
Track and maintain daily attendance records and report discrepancies to the Center Director. Assist with enrollment documentation and file collection. Monitor and follow up on missing or incomplete paperwork as directed. Support waitlist and enrollment tracking systems. 5.COMMUNICATION & COORDINATION
Facilitate communication between families, staff, and Center Director. Distribute notices, forms, and program information to families and staff. Support coordination of center-wide communication and documentation flow. Assist with organizing family engagement events and meetings. 6.OPERATIONAL SUPPORT TO CENTER DIRECTOR
Provide direct administrative support to the Center Director to ensure efficient center operations. Assist with tracking compliance deadlines, required postings, and documentation requirements. Support organization of staff files, training records, and center documentation. Help maintain inventory of office supplies and coordinate ordering as needed. Assist in ensuring required documentation is posted and accessible (licensing, menus, emergency plans, etc.). 7.CONFIDENTIALITY & PROFESSIONAL STANDARDS
Maintain strict confidentiality of all records and communications. Adhere to all organizational policies and procedures. Demonstrate professionalism in all interactions with families, staff, and visitors. 8.GENERAL RESPONSIBILITIES
Maintain confidentiality regarding children, families, and staff. Comply with mandated reporter requirements. Participate in required meetings, trainings, and professional development. Perform other duties as assigned in support of program operations.QUALIFICATIONS
Minimum High school diploma or equivalent required Experience in administrative support, clerical work, or office operations Basic computer skills, including data entry and document management Strong organizational and communication skills Ability to maintain confidentiality and handle sensitive information Valid driver's license and reliable transportation. Preferred Experience working in Early Head Start, Head Start, or early childhood programs Familiarity with Office of Head Start Performance Standards related to recordkeeping and documentation Experience with child/family record systems or data management systems Bilingual abilities (if applicable to community served)SKILLS & COMPETENCIES

PRE-EMPLOYMENT REQUIREMENTS
Must successfully complete all required background checks and screenings in accordance with Head Start Program Performance Standards, Mississippi state licensing requirements, and Moore Community House policies. Must be able to perform the essential functions of the position, with or without reasonable accommodation. Must successfully complete a post-offer, pre-employment physical examination, as required for the position. Must possess a valid driver's license and maintain reliable transportation. Must be eligible to work in the United States. Must comply with all applicable health and safety requirements, including those required by Head Start Program Performance Standards, Mississippi state licensing requirements, and Moore Community House policies, including vaccination requirements as applicable.WORKING CONDITIONS & PHYSICAL REQUIREMENTS
Work is performed in an office and early childhood center environment. Regular interaction with parents, children, staff, and visitors. Requires sitting, standing, and occasional movement throughout the center. Ability to lift and carry up to 15-20 pounds (files, supplies, materials). Frequent use of standard office equipment (computer, phone, copier). Regular interaction with children, families, and staff in a busy environment. Exposure to typical early childhood settings, including noise, cleaning products, and frequent handwashing. Moore Community House offers a competitive salary commensurate with experience.
