Job Description

Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Responsibilities Manage front desk duties, greeting visitors and directing them appropriately with professionalism and warmth Operate multi-line phone systems, handle incoming calls with excellent phone etiquette, and route messages accurately Perform data entry tasks using Microsoft Office, Google Workspace, and other office management software to maintain organized records Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently Support bookkeeping activities using QuickBooks or similar accounting tools, including invoicing and expense tracking Conduct clerical tasks such as filing, proofreading documents, and maintaining office supplies inventory Provide customer support by responding promptly to inquiries via phone or email, ensuring a positive experience for clients and colleagues Qualifications Proven office experience with strong organizational skills and attention to detail Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic data entry skills Experience with QuickBooks or similar bookkeeping software is preferred Excellent communication skills in both English and bilingual capabilities are highly desirable Demonstrated ability to manage time effectively and prioritize tasks in a fast-paced environment Previous experience as a receptionist or personal assistant is advantageous, especially in medical or dental office settings Knowledge of office management procedures such as filing systems, calendar management, and document proofreading Strong customer service orientation with professional phone etiquette and interpersonal skills Join us in delivering outstanding administrative support that keeps our organization running smoothly!
