Role Description The Administrative Assistant is a full-time, on-site role based in Great Falls, MT. This position provides daily administrative and clerical support to office operations, including answering and directing phone calls, greeting visitors, and managing incoming and outgoing correspondence. The role involves maintaining organized digital and physical filing systems, scheduling appointments and meetings, and assisting with document preparation such as leases, reports, and notices. The Administrative Assistant will also support team members with data entry, basic record-keeping, and other office tasks to ensure smooth operations and a professional experience for residents and clients. Qualifications Strong Administrative Assistance and Clerical Skills to manage office tasks, documentation, and filing systems. Professional Phone Etiquette to handle calls, direct inquiries, and provide courteous customer service. Effective Communication skills, including clear verbal and written communication with residents, clients, and team members. Experience with Executive Administrative Assistance or similar roles supporting managers or leadership is beneficial. Proficiency with common office software (e.g., Microsoft Office or Google Workspace) and basic data entry. High attention to detail, strong organizational skills, and the ability to prioritize multiple tasks. Reliability, discretion, and a customer-focused mindset in a real estate or property management environment. High school diploma or equivalent required; additional coursework or certification in office administration is a plus.
