Job Description

Overview We are seeking a dynamic and highly organized Secretary / Payroll & Bookkeeping Support to join our team. This vital role combines administrative excellence with financial support, ensuring smooth office operations, accurate payroll processing, and meticulous bookkeeping. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to support various office functions while maintaining a professional and welcoming environment. Duties Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth Operate multi-line phone systems, directing calls efficiently and courteously Support payroll processing by collecting timesheets, verifying hours, and entering data into QuickBooks or other accounting software Assist with bookkeeping tasks such as invoicing, expense tracking, bank reconciliations, and financial recordkeeping Maintain organized filing systems for documents, records, and correspondence Provide exceptional customer service by responding promptly to inquiries via phone or email Support office management tasks including calendar management, appointment scheduling, and meeting coordination Proofread documents for accuracy and clarity before distribution or filing Utilize Google and Microsoft Office tools to prepare reports, spreadsheets, and presentations Perform data entry with precision to ensure accurate recordkeeping across all departments Requirements Proven experience in office administration or clerical roles with a focus on bookkeeping or payroll support Proficiency in QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook) Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent phone etiquette and customer service skills, including experience with multi-line phone systems Familiarity with office management procedures such as filing systems, calendar management, and document proofreading Computer literacy including data entry, email communication, and internet research skills Ability to handle sensitive information discreetly while maintaining professionalism at all times Strong time management skills to prioritize tasks efficiently and meet deadlines Join us in this energetic role where your organizational talents will keep our office running smoothly while supporting vital financial processes.
