Responsibilities Manage multi-line phone systems, directing calls accurately and professionally. Perform data entry tasks with precision using spreadsheets, word processing, and productivity software. Handle calendar management and schedule appointments efficiently for staff members. Maintain organized office files, records, and supplies to support daily operations. Assist with billing, invoicing, and bookkeeping using QuickBooks or similar accounting software. Support office management duties such as coordinating meetings, managing correspondence, and overseeing clerical tasks. Skills Proven experience with office management, administrative support, or clerical roles. Strong computer literacy including proficiency in Microsoft Office (Word, Excel) and familiarity with spreadsheets. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Exceptional communication skills—both verbal and written—and phone etiquette. Bilingual abilities are a plus to assist diverse client needs. Experience with data entry, proofreading, and maintaining accurate records. Knowledge of office equipment such as multi-line phone systems, printers, and fax machines. Personal assistant experience or medical receptionist background is advantageous for certain settings.
