About the
Role:
We're looking for an organized, friendly, and proactive Administrative Assistant to join our in-office team! This isn't your typical admin role—we're looking for someone who's the heart of the office. You'll be the first friendly face people see and the go-to support for both our team and our clients. From keeping things running smoothly to supporting various teams, you'll help create a welcoming and efficient environment that reflects our PayNW culture.
What You'll Be Doing:
Assist with answering and directing all incoming telephone calls to appropriate parties in a professional, friendly and courteous manner. Greet clients and delivery drivers at the door. Ensure office is organized and tidy. A1S distribution. Prepare, format, and maintain reports, correspondence, and internal documents. Organize and maintain electronic and physical filing systems. Keep track of office supplies and reorder when necessary. Assemble and distribute birthday, anniversary, and new hire boxes to employees. Scan and distribute "in office" and virtual mail to appropriate departments. Assist with payroll verification and documentation. Support payroll processing deadlines and resolve basic payroll inquiries. Ensure UPS, FedEx and Courier service is picked up daily. Assist in coordination of office events. Daily review and allocation of unassigned inbound client request/tickets. Other administrative duties as requested.
What We're Looking For:
Proficiency in MS Office, specifically Excel, Word, SharePoint, and PowerPoint. Accuracy and speed at data entry. Excellent oral/written communication skills. Strong organizational skills. High level of discretion and confidentiality. Excellent customer relationship skills. Proactive, a self-starter. Works well under pressure. Detail oriented.
Work Environment:
Comfortable working at a desk on a computer for most of the day Confident in phone and video calls Maintains a professional and tidy workspace for virtual meetings
