Job Description
We are seeking a highly organized, proactive, and service-oriented Office Administrative Assistant to join our team. The ideal candidate thrives in a fast-paced environment, follows instructions accurately, takes initiative, and can work independently with minimal supervision. Key Responsibilities Manage and maintain calendars, appointments, meetings, and scheduling activities. Organize, update, and maintain both electronic and physical filing systems to ensure records are accurate and easily accessible. Answer and manage incoming phone calls, text messages, and emails in a professional, timely, and courteous manner. Conduct outbound phone outreach to clients, community members, partners, and prospective participants as needed. Provide information, address inquiries, follow up on requests, and ensure excellent customer service at all times. Assist clients, visitors, and community members with warmth, respect, and professionalism. Follow instructions carefully and execute tasks efficiently and accurately. Take initiative in identifying and resolving administrative issues before they escalate. Handle confidential information with discretion and integrity. Coordinate office operations and provide administrative support to leadership and team members. Prepare correspondence, reports, forms, and other office documents as needed. Monitor office supplies and assist with maintaining an organized and efficient work environment. Support programs and activities that benefit seniors and the local community. Qualifications and Skills Previous experience in an administrative, office support, or customer service role preferred. Excellent calendar management and organizational skills . Experience managing both digital and hard-copy filing systems . Strong ability to follow instructions thoroughly and accurately . Self-motivated, proactive, and able to work independently without constant supervision. Demonstrates sound judgment and the ability to make appropriate decisions when needed. Willingness to take on new challenges and adapt to changing priorities. Outstanding telephone etiquette and excellent verbal and written communication skills. Comfortable handling high volumes of calls, texts, emails, and outreach activities with professionalism and efficiency. Exceptional customer service orientation with a positive, professional attitude. Proficient in Microsoft Office and other common office technologies.
