Job Description

Performs a variety of office support functions to include serving as the agency receptionist. Additional duties include, but are not limited to: Answering the switchboard, typing intake cards, issuing work permits, helping with other clerical duties when needed and as time allows. Intake & Application Processing Receive, review, and process applications for social services programs (e.g., Medicaid, Food & Nutrition Services, Work First). Ensure applications are complete and meet initial eligibility documentation requirements. Data Entry & Case Management Support Accurately enter client data into state and county systems in a timely manner. Update case records, track changes, and maintain data integrity. Document Management Scan, index, file, and retrieve client records (both electronic and paper). Maintain organized and confidential filing systems in compliance with state and federal regulations. Customer Service Serve as a first point of contact for clients in person, by phone, and electronically. Provide general program information, application status updates, and guidance on required documentation. Mail & Correspondence Handling Process incoming and outgoing mail, including notices, verifications, and client communications. Prepare and distribute standard correspondence and forms. Verification & Follow-Up Request and track required verifications from clients and third parties. Follow up on missing or incomplete information to support eligibility determination. Scheduling & Office Support Schedule appointments for caseworkers and clients. Assist with front desk operations and daily clerical workflow. Confidentiality & Compliance Maintain strict confidentiality of all client information in accordance with applicable laws and DSS policies. Ensure all work complies with program guidelines and audit standards. Collaboration with Staff Support social workers, case managers, and supervisors by preparing case materials and documentation. Communicate effectively with internal teams regarding case status and processing needs. Quality Control Review processed work for accuracy and completeness. Assist with error correction and participate in audits or reviews as needed. Knowledge, Skills, and Abilities Working knowledge of general office procedures and records management practices. Strong attention to detail and accuracy in data entry and documentation. Ability to handle highly sensitive and confidential information with discretion. Strong organizational and time management skills, with the ability to prioritize tasks in a fast-paced environment. Ability to communicate effectively with staff, clients, and community partners. Ability to manage stressful or emotionally sensitive situations in a professional manner. Proficiency in standard office software and data systems. Minimum Education and Experience Graduation from high school or GED; and One (1) year of clerical or administrative experience; preferably in a human services, legal, or social services setting; or An equivalent combination of education and experience. Preferred Qualifications Familiarity with NC FAST Experience with confidential records management. Bilingual (Spanish/English) skills. Physical Requirements Ability to perform sedentary work, including sitting for extended periods. Ability to lift and carry files and materials weighing up to 20 pounds. Ability to operate standard office equipment. Special Requirements Must maintain strict confidentiality May be exposed to emotionally difficult or high-stress situations. May require occasional overtime to meet mandated timelines or during high-volume periods.
