Job Description

The Administrative Assistant performs a range of clerical, technical and administrative support duties in support of the Arts & Sciences department. This position maintains current knowledge of appropriate college and departmental policies to ensure the efficiency of the department. Provides excellent customer service and assistance to internal and external customers through walk-in, telephone and email Computes, inputs, and issues contracts for adjunct instructors including receiving signed contracts within appropriate payroll deadlines Provides general administrative support including preparation of memorandums, correspondence, minutes, reports, purchase requisitions, and check requests Performs data entry entering information and updates into computerized programs Initiates electronic forms to process new hires for the department Maintains faculty textbook inventory list and library Collects and analyzes data; runs, maintains and audits various reports and records Maintains the Arts & Sciences Room Outlook Calendar Assists with summer camps as assigned Performs other job-related duties and projects as assigned in support of the College's mission, core values and goals High school diploma or equivalent. Two (2) years' experience in an office environment performing administrative tasks.
Preferred:
Associate's degree from a regionally accredited institution of higher learning. Knowledge Intermediate knowledge of clerical processes and procedures and standard office procedures; practices and equipment Intermediate knowledge of report preparation Intermediate knowledge of record control Skills Advanced computer skills and technical proficiency in Microsoft Office applications Effective verbal, listening and written communications skills Attention to detail and high level of accuracy Highly effective planning, coordination and organizational skills to meet work deadlines Interpersonal skills with proven ability to work in a team environment Abilities Ability to record, compile, analyze and summarize data Ability to analyze situations and exercise sound judgment in making decisions Ability to display tact and poise at all times Ability to handle confidential information with absolute discretion Commitment to diversity, equity and inclusion; demonstrated ability to work effectively with a culturally diverse workforces, including those with different levels of academic preparation and varying physical and learning abilities, and socioeconomic levels
