Role:
The purpose of the Weighmaster / Administrative Assistant role is to ensure the accurate and efficient processing of inbound and outbound truck transactions while supporting essential office and financial operations. This position serves as a critical link between drivers, operations, and accounting by maintaining precise weight records, preparing required shipping documentation, entering and reporting data, and assisting with invoicing and accounts payable functions. By upholding accuracy, organization, and professional communication, this role helps maintain compliance, supports operational continuity, and contributes to the overall success of the company's daily operations. In this role, you directly contribute to operational accuracy and efficiency by ensuring precise truck weights and proper documentation, supporting both regulatory compliance and smooth logistics operations. Your attention to detail in data entry and reporting provides leadership with reliable information for decision-making and financial tracking. By assisting with invoice preparation and accounts payable processes, you help maintain strong vendor relationships and timely payments. Through organized, responsive office support and professional interactions with drivers and team members, you help create a seamless daily workflow that keeps the operation running effectively.Position Summary:
The Weighmaster / Administrative Assistant is responsible for managing daily scale operations and providing administrative support to ensure accurate documentation, efficient office workflow, and compliance with company procedures. This role oversees the weighing of commercial vehicles, preparation of Bills of Lading, data entry, reporting, and accounts payable assistance while maintaining organized records and delivering professional customer service to drivers, vendors, and internal staff.Shift hours:
Monday - Friday 7:00AM - 3:30PM Key Responsibilities:
Preforms office operations to ensure company requirements are sufficiently met daily. Weighs all commercial trucks by operating industrial scale. Completes Bills of Lading Enters data into various software programs Operates standard office equipment efficiently to include: multi-line telephone system facsimile machine photocopy machine postage meter calculator computer/printer Provides daily, bi-monthly, and monthly spreadsheets as required. Assists in invoice preparation and entry into accounts payable system.Qualifications:
Associate's degree (A. A.) from accredited college or university; or two to four years related experience and/or training; or equivalent combination of education and experience. Previous weighmaster, scale house, logistics, or administrative experience preferred. Strong data entry skills with high attention to detail and accuracy. Proficiency in Microsoft Office (Excel, Word, Outlook) and other business software. Ability to manage multiple tasks and meet deadlines in a fast-paced environment. Strong communication and organizational skills. Basic knowledge of accounts payable processes preferred.Physical Demands:
Ability to sit for extended periods while performing administrative tasks Ability to stand for extended periods while operating the scale Frequent use of hands and fingers to operate computer, calculator, and other office equipment Ability to walk between office and scale house areas as needed Occasional lifting and moving of items up to 25 pounds Visual acuity to read computer screens, scale displays, and printed documents for prolonged periodsWork Environment:
Work is conducted in both indoor and outdoor areas of the facility. Employees may be exposed to dust, dirt, mud, loud noise, strong odors, heavy machinery in proximity, and potentially extreme weather conditions. Terrain may be uneven, soft, or shifting. Low/variable lighting and slip, trip, or fall hazards should be expected. Appropriate personal protective equipment (PPE), including safety harness, hard hat, high-visibility apparel, safety footwear, gloves, safety glasses, and issued lighting devices, will be provided and must be worn as required when on site. When applicable, employees required to wear a respirator must successfully complete a company-provided medical evaluation and fit test prior to use and maintain ongoing compliance with all applicable training and certification requirements.
