Job Description

Majestic Hardware Services LLC is seeking a detail-oriented Admin Assistant to support our estimating team through administrative coordination, bid management, customer communication, contract processing, and project setup. This position plays a critical role in ensuring projects move efficiently from bid invitation through contract execution and production handoff. The ideal candidate is highly organized, computer proficient, dependable, and capable of managing multiple priorities while maintaining exceptional attention to detail.
ESSENTIAL JOB DUTIES
Bid Management & Scheduling Receive and process Invitations to Bid (ITBs) Download, organize, and maintain project plans and specifications Enter project information into company scheduling systems Maintain estimating schedules and project tracking tools Communicate with customers regarding bid receipt and scheduling updates Contract & Project Administration Set up new jobs, customers, and project information Create sales orders and project documentation Track contracts through the execution process Update project information within company software systems Assist with production handoff documentation Customer Service & Communication Provide professional customer service to builders, contractors, and vendors Respond to customer inquiries in a timely manner Maintain positive working relationships with customers and vendors Follow up on proposals, contracts, and change orders Administrative Support Maintain project records and documentation Assist with submittals, warranties, and project closeout documents Manage spreadsheets, databases, and reporting tools Perform general administrative duties as assigned
QUALIFICATIONS
High School Diploma or GED required Previous administrative, office support, customer service, or construction industry experience preferred Strong computer skills, including Microsoft Office, Excel, Outlook, QuickBooks and web-based applications Ability to learn company software and estimating systems Excellent organizational and time management skills Strong written and verbal communication skills, self-motivating, self-starter, problem solver Ability to prioritize multiple projects and deadlines High level of accuracy and attention to detail Reliable and dependable Organized and process-oriented Comfortable working independently Detail-focused and accurate Quick to learn new software and systems Professional in customer interactions Able to follow established procedures while supporting team objectives
PHYSICAL REQUIREMENTS
Prolonged periods sitting at a desk and working on a computer Ability to occasionally lift up to 25 pounds Ability to view plans, specifications, and computer screens for extended periods
Pay:
$14.00 - $16.00 per hour Expected hours: 40.0 per week
