Job Description
Overview We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. As an Office Assistant, you will be the first point of contact for visitors and clients, manage administrative tasks with efficiency, and support various office functions to keep everything running seamlessly. Your proactive attitude and attention to detail will contribute significantly to our team's productivity and positive workplace culture. Duties Greet visitors, staff, and clients with professionalism and warmth, providing excellent customer service at the front desk Manage phone system, directing calls accurately and courteously while taking detailed messages when necessary Perform data entry tasks using productivity software such as Microsoft Office and spreadsheets to maintain organized records Handle invoices and billing Maintain office supplies inventory, place orders as needed, and organize office spaces for maximum efficiency Assist with finger printing Community outreach once a week. Skills Proven experience with office management and administrative support in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry Excellent phone communication skills, including experience with multi-line phone systems and phone etiquette Bilingual abilities are a plus to effectively communicate with diverse clients and team members Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively Technical proficiency in using productivity software, typing accurately, and proofreading documents for clarity and accuracy Customer service expertise, including front desk responsibilities and client communication skills Experience with office equipment such as printers, scanners, fax machines, and basic troubleshooting skills Personal assistant or medical receptionist experience is advantageous but not required; a strong willingness to learn is essential Join us as an Office Assistant where your enthusiasm for organization and excellent communication skills will help create a welcoming environment while supporting our team's success!
