Non-Exempt Position Summary The Administrative Assistant (Filing & Binder Prep) provides essential organizational and clerical support to the firm's attorneys and paralegal staff. This role is primarily responsible for learning and maintaining the firm's filing systems—both digital and physical—as well as preparing and maintaining client trial binders. The ideal candidate will demonstrate strong attention to detail, organizational ability, and initiative. Prior legal filing experience is not required. Key Responsibilities File Management Learn and maintain the firm's filing system, ensuring both digital and paper files are complete, accurate, and up to date. Organize, label, and archive case documents according to firm protocols and court requirements. Track and monitor filing deadlines and ensure timely submission of documents. Coordinate with paralegals and attorneys to ensure case files are trial-ready. Binder Preparation Assemble and maintain trial preparation binders for attorneys, including pleadings, exhibits, correspondence, and key case documents. Update binders regularly as new documents are received or prepared. Ensure consistency, accuracy, and professional presentation of all binders. Administrative Support Prepare and format internal documents and correspondence as directed. Support paralegals and attorneys by retrieving documents and ensuring files are accessible. Assist with scheduling, copying, scanning, and other general office tasks. Manage office supplies related to filing and binder preparation. Collaboration & Communication Work closely with the Lead Attorney and paralegal team to prioritize tasks. Communicate with attorneys regarding binder needs and filing status. Provide occasional client or court delivery support when necessary. Qualifications Education High school diploma or equivalent required. Associate's degree or office administration coursework preferred. Experience Prior experience in a professional office, administrative, or inventory management role preferred. No legal filing experience required; on-the-job training will be provided. Skills and Competencies Strong organizational skills with the ability to manage detailed, repetitive tasks. High attention to accuracy and detail. Ability to learn and consistently apply filing protocols. Strong initiative and follow-through. Proficiency with Microsoft Office Suite (Word, Excel, Outlook). Ability to maintain confidentiality and handle sensitive information with discretion. Working Conditions Office-based role with regular working hours, Monday through Friday. May occasionally require overtime during trial preparation periods. May include courthouse or client service errands. Compensation Hourly wage commensurate with experience. Eligible for overtime pay in accordance with FLSA guidelines. Benefits may include health insurance, paid time off, and professional development opportunities.
