Job Description
G eneral Summary T he Receptionist will perform administrative tasks and services to support effective and efficient operations of the organization and human resource department. E ssential Job Functions R egular and reliable attendance. A nswer and direct phone calls. R eceive, sort, and distribute incoming mail and prepare outgoing mail. C onsistently monitor faxes and complete correspondence. A ssist walk-ins with online application kiosks and any forms needing completion. C ontact vendors for supplies and pickups, when necessary. M aintain inventory of all office supplies (office, kitchen, restroom) and make orders from respective vendors. O rder toner and ink for printers/copiers and call for services. C ontact shred company to empty paper bins. S etting up company assets and devices R eview and document employee attendance in HRIS system (Viewpoint). C reate or order business cards upon request. V erify accuracy of all forms submitted. M onitor personal info submissions in Employee Portal and approve/reject changes. R eview and update Standard Operating Procedures (SOP's) relevant to position. R esponsible for completion and accuracy of all tasks. C onducts audits as needed and/or directed. A ssist with onboarding process for new hires. M aintains Human Resource Information System records with accuracy and timeliness including data entry, scanning and attaching and naming documents correctly. E stablishes and maintains positive working relationships with management, employees, external agencies and vendors. M aintain the highest degree of confidentiality and professional discretion. M ulti-task, communicate progress in a timely manner and meet deadlines. E nsure all KS Industries, LLC and customer policies and procedures are being followed. O ther projects and duties as assigned by management. S hall perform all physical and mental requirements listed. K nowledge, Skills, and Abilities A bility to read and write in English A bility to comprehend and communicate instructions in English A bility to communicate with employees and various business partners in a professional and courteous manner A bility to present in a group setting K nowledge of technology (iPads, cellphones etc.) P roficient computer skills, Microsoft Office products D etail oriented P roblem solving skills G eneral knowledge of HR laws, practices and policies A bility to multitask and prioritize M ust be able to work in a team environment E ducation and Experience P revious experience with construction and/or Oil field knowledge is preferred. E xperience with HRIS and timekeeping systems strongly preferred. P hysical & Mental Requirements W orking
Conditions:

Hours:
N ormally, a full-time employee will work 40 hours per week, depending on the factors such as weather and schedules. Work schedules and hours may vary depending on specific client locations and projects. In general, applicable work schedules include 5-8's. All labor laws in reference to rest breaks and meal periods will be followed.
