Job Description
Description The Assistant Planning and Zoning Administrator will provide a variety of administrative, financial and technical duties in support of the Planning and Zoning Department by completing, filing and maintaining applications/records. This position is also responsible for accepting and processing fees, completing financial reports and deposits, assisting with department budget, inventory, audits, public notices, and public meetings. Compensation will be based on experience. Responsibilities Assist the Planning and Zoning Administrator in the daily implementation and enforcement of the zoning regulations and operations of the department. Assists the public by phone, email and in person, providing information and answering questions requiring knowledge of department rules, regulations, processes and building procedures. Compose correspondence, reports, etc. as needed. Prepares basic Planning Commission (PC) and Board of Adjustment (BOA) meetings through the meeting computer software. Prepare files/applications for PC and BOA, submit notice of public meetings, prepare certified letters for applicants and update the website with meeting information and approved minutes. Attend various scheduled meetings entering notes for the minutes report, monitoring the voting process, and obtaining signatures on items as needed. Create the agenda and meeting minutes and post as needed. Maintain PC and BOA communications, membership records, mileage and end of term process. Gathers information required for building and zoning applications and permits, completes forms and applications, issue permits and collects necessary fees. Monitor joint email and calendar and is second for incoming phone calls. Assists Building Administrative Assistant with scheduling and coordinating building inspections and inspection reports when needed. Assist with maintaining building permits, registration, license and credit card files, processes building permits and inspection reports into the building permit computer program. Maintains financial records through QuickBooks, monthly preparation of building permit reports, building deposits and other revenue reports and distributing them as needed. Process all invoices through the county claim system and disburse checks as needed. Maintain office supply inventory and order as needed. Assist the Building Inspector with orders, certifications, training and submitting mileage as needed. Other duties as assigned. Skills Ability to learn and interpret county regulations and various types of maps Basic understanding of flood zones. Proficient in Microsoft Office Suite, data entry systems, assisting with budget goals, inventory and record keeping. Basic accounting skills utilizing QuickBooks is preferred. Ability to establish and maintain effective working relationships with employees, supervisors, other departments, officials and the general public. Ability to effectively communicate verbally and in writing. Ability to respond with flexibility to multiple work assignments. Ability to work independently and as part of a team in a fast-paced environment. Strong organizational skills and attention to detail. Qualifications Bachelor's degree preferred. Two years of planning related experience preferred.
