Nature of Work This is an advanced classification that performs specialized clerical work of an administrative nature of varied scope and complexity requiring a broad knowledge of standardized policies and procedures, and confidentiality in the disposition of work matters. Work requires significant independent judgment, problem solving, and decision-making skills within prescribed limitations. Interprets guidelines to specific situations that are not covered by policies or procedures. Work includes the maintenance of various record systems, the creation of reports involving payroll, employee, student, departmental records, and statistical data. Work also includes composing routine memoranda, correspondence and written materials requiring knowledge of institutional policies and procedures, scheduling meetings, and making travel arrangements. Limited leadership may be exercised over small teams of co-workers or student employees. Occasional supervision and oversight is provided to employees in this classification.
Examples of Work Performed Essential Duties:
1. Manages the daily office operations and provides administrative support for the Vice President Administration and Finance (VPAF) office as assigned. Completes assignments independently unless VPAF action is needed. 2. Assists the VPAF with state and federal compliance issues including but not limited to: Americans with Disabilities Act (ADA)
- campus and building access issues Nebraska Department of Water, Energy, and Environment (DWEE)
- Annual Air Emissions report and Operation Permit
- for heating plant (every 5 years). Maintains Chlorofluorocarbon Refrigerants (CFC) records
- HVAC leaks Maintains Hazardous material records including Safety Data Sheets, chemical inventories, hazardous waste 3.
Schedules facility inspections and follows up on any required repairs:
Semiannual:
hood cleaning/inspection and fire alarm inspections
Annual:
fire sprinkler, fume hoods, fuel tanks, fire hydrants and elevator inspections
Biennial:
internal combustion inspection 4.Monitors construction and contingency maintenance projects in coordination with the VPAF and Assistant to VPAF, processes invoices for payment and tracks budget (including campus projects' timelines and funding sources). 5.Responsible for board report preparation related to Capital Construction quarterly report, Auxiliary Maintenance and Progress reports, and LB 309 status reports. 6.Coordinates various insurance renewal responses process with the VPAF, college personnel, and System Office. 7.Plans and coordinates campus visits such as Fiscal Analyst, Task Force for Building Renewal (LB 309) and other high-ranking officials.
Secondary Duties:
1. Other job-related duties as assigned by the immediate supervisor Required Qualifications High School diploma or equivalent College coursework in Business Administration or related field and/or two years of clerical experience Preferred Qualifications Knowledge of current office practices and procedures. Knowledge of financial systems and software used for word processing, spreadsheet and database applications. Knowledge of basic budgeting and accounting principles and practices. Skill in the operation of a computer, scanner, copier, printer, and other common office equipment. Ability to perform advanced clerical tasks and projects including composing, preparing and disseminating correspondence, reports and memoranda. Ability to communicate effectively in verbal and written formats. Ability to maintain varied filing systems and records.
