Responsibilities Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professionalism and courtesy Handle incoming and outgoing correspondence, including emails, mail, and packages Maintain accurate records through data entry, bookkeeping using QuickBooks, and document proofreading Schedule appointments, coordinate calendar management, and organize meetings for staff and clients Support office management tasks such as supply inventory, filing systems, and general administrative support Assist with client communication and customer service to ensure positive interactions and resolve inquiries efficiently Handle confidential information with discretion while maintaining high standards of phone etiquette and professionalism Qualifications Proven clerical or administrative experience in an office setting with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy essential for daily tasks Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent communication skills in both English and bilingual capabilities preferred to serve diverse clients effectively Strong data entry skills with attention to detail; ability to type quickly and accurately Demonstrated ability to manage time efficiently while multitasking in a fast-paced environment Personal assistant or office management experience is a plus; familiarity with multi-line phone systems and calendar management is preferred Join us in creating a vibrant workplace where your organizational talents shine!
