Duties Greet visitors and clients with professionalism and warmth, ensuring a positive first impression. Manage multi-line phone systems to handle inquiries, direct calls efficiently, and provide excellent customer support. Perform data entry tasks accurately using productivity software such as Microsoft Office, spreadsheets, and Word processing tools. Maintain organized filing systems, update records, and handle document proofreading to ensure accuracy and confidentiality. Assist with calendar management and scheduling appointments for staff or executives as needed. Support office management activities including supply inventory, mail distribution, and basic clerical duties. Utilize technical proficiency in computer literacy and office software to streamline daily operations and improve productivity. Experience Previous office experience or administrative support roles demonstrating strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data management. Experience with multi-line phone systems, phone etiquette, and customer service to effectively communicate with clients and team members. Bilingual abilities are highly valued to assist diverse client needs and enhance communication. Strong typing skills with attention to detail for data entry, proofreading, and document preparation. Knowledge of QuickBooks or similar accounting software is a plus for handling basic financial transactions. Demonstrated ability to manage time efficiently, prioritize tasks, and maintain professionalism in a fast-paced environment.
