Jul 1, 2026 Job Description Barrington Middle School is looking for an administrative assistant in the school's main office who is able to maintain a warm and service-oriented atmosphere while interacting daily with students, staff, parents, and the community. The primary responsibility of this role is to provide high-level administrative and clerical support to the Building Principal and the Assistant Principal. They also work closely with the main office secretary, as well as other administrative assistants in the district. Essential Duties and Responsibilities Office Management & Clerical Support
Reception:
Greet visitors, answer and refer telephone calls, and respond to public requests for information with tact and courtesy.
Communication:
Prepare and distribute announcements, and general correspondence; record and transcribe meeting minutes.
Record Keeping:
Maintain office and student files (both manual and computerized), manage the building use calendar, and track the Principal's schedule.
Mail & Logistics:
Process and distribute mail, prepare mailings, and run errands to the bank or central office as needed. Financial & Budgetary Oversight
Budgeting:
Assist in developing, managing, and monitoring school budgets; track expenditures and prepare monthly budget reports.
Purchasing:
Initiate purchase orders, confirm pricing, maintain inventory of office supplies, and follow up on lost orders.
Bookkeeping:
Record student activity funds (fundraisers, field trips), coordination with the central office for check writing, post deposits, and ensure money is secured in the school safe. Student & Staff Services
Attendance:
Enter daily student attendance, manage staff absence records/payroll time sheets, and prepare monthly/year-end state reports.
Registration:
Coordinate new student enrollment, including boundary checks, paperwork completion, and data entry.
Safety:
Support school safety evacuation plans and monitor student arrival/dismissal. Support coordination of: Field trip scheduling and transportation and assist with substitute teacher coverage. Terms of Employment
Duration:
July 1- June 30
Evaluation:
Performance is evaluated annually by the Building Principal or Assistant Principal.
